Virtual Meetings 101: Tips and Tricks for a Successful Video Conference

Although many companies are back to the office full-time or on a hybrid schedule, virtual conferencing remains ubiquitous. If your team needs to meet remotely with employees from other branches or clients who aren’t local, video meetings are here to save the day. For the uninitiated, video call etiquette and troubleshooting can be nerve-racking. We’re here to help! Here, we share our top tips for ensuring that your video conference goes off without a hitch. Of course, it all starts with the right equipment, and we carry all the office supplies you need to facilitate successful virtual (and in-person) meetings.

Start With a Test

Technical difficulties are bound to happen occasionally, but you can minimize the chance of technical difficulties impacting an important meeting by doing a quick test run before it starts. Whether you’re using Zoom, Google Meet, Microsoft Teams, or another video conferencing app, always opt to test your video and audio a few minutes prior to  your meeting. If you do run into a hiccup, you’ll have some time to fix the issue.

Mute Yourself When Not Speaking

Even though you may be working in a private office that’s generally quiet, you never know when an unexpected disturbance could occur. Whether you’re working from home or in the office, practice muting yourself when you’re not speaking. By keeping this tip in mind, you can reduce all background noise that could be distracting.

Use Optimal Lighting

If you’ll be using the camera for your video call, take a moment to check out the lighting. You don’t want your environment to be too bright or too dim, which can be distracting (or even difficult) to look at. Opening a curtain for some natural light often provides the best results, but if you don’t have access to a window, just do what you can to ensure that the lighting in the room enhances rather than hinders the video quality.

Pay Attention to the Camera Angle

Most of us have been on the receiving end of a video call with someone with a bad angle. It’s challenging to have a professional meeting when it feels like you’re talking to a person’s nostrils–so always take a moment to adjust the camera angle during your test phase. This will help you avoid unfortunate angles that could detract from the meeting.

If you’re training someone new on the team or simply want to brush up on your own video conferencing skills, the tips mentioned here will help you navigate this task. In addition to the suggestions highlighted above, you’ll need high-quality equipment to ensure great results.
